While we always encourage clients to book their hotel stays through The Suite Sojourn, we understand that there are moments when booking directly makes more sense. Maybe you’re browsing options at the end of a long day and stumble upon a great rate you want to lock in right away, or perhaps our office is closed. The good news: booking directly doesn’t mean you miss out on our perks or support. Through a process known as a Hotel Reservation Takeover, our team can step in, attach ourselves to your existing reservation, and extend our benefits to your stay from that point forward
A takeover allows a travel advisor to be added to a reservation you made directly with the hotel. It’s a simple process in which we contact the property on your behalf. We do, however, need your approval and a forwarded copy of your confirmation before we can proceed. When clients request a takeover, we ask them to send the following note:
“I approve The Suite Sojourn to take over my reservation below so I may receive their amenities.”
Having The Suite Sojourn attached to your booking provides an added level of support and unlocks valuable amenities available through our preferred partnerships. These often include:
Daily complimentary breakfast for two
A $100 property or resort credit
Complimentary room upgrade, subject to availability
Early check-in and late check-out, subject to availability
Hotels prioritize reservations in tiers: bookings made through online travel agencies sit at the lowest level, direct bookings fall in the middle, and reservations connected to a trusted advisor are typically given the highest level of attention. When you work with us, your stay is elevated to VIP status. Our industry relationships with hotel leadership and sales teams allow us to personalize your experience and advocate for upgrades or special touches when possible.
Takeovers are generally possible for reservations made directly with the hotel, typically under Best Available Rates or other flexible promotional offers. Many stay-based promotions (such as free night offers) may still qualify. In some cases, takeovers can also be applied to certain cruise bookings.
When is a takeover not possible?
We cannot take over reservations made with loyalty points or bookings placed through third-party sites like Expedia, Orbitz, Priceline, or other OTAs. Takeovers are always at the hotel’s discretion, and while declines are uncommon, they can occur.
When should I reach out about a takeover?
Please contact The Suite Sojourn as soon as you make your reservation. The earlier we are looped in, the sooner we can coordinate with the hotel and take over the details, allowing you to relax while we handle the rest.
If you have questions about the takeover process or would like to begin planning your next trip, feel free to reach out to our team anytime by completing our Travel Request Form
